AI for events, proven on our own platform

Attendee matchmaking, live transcription, support bots and exhibitor lead intelligence for conferences, trade shows and association events. Everything here runs in Eventify, the white-label event platform we built and operate.

  • iOS, Android and web event apps
  • AI matchmaking and transcription in production
  • Check-in, badges, kiosk, lead retrieval
Use cases

Where AI creates value in events and exhibitions

Events generate a burst of rich data over a few days. AI turns it into better networking, less support load and reporting sponsors actually read.

  • Attendee and exhibitor matchmaking

Recommend the people, exhibitors and sessions each attendee should not miss, with a reason attached, and schedule meetings in the app. Touches registration data, the attendee app and the meeting scheduler. See AI matchmaking.

  • Live session speech-to-text and summaries

Live captions, post-session summaries and searchable transcripts, so attendees catch what they missed and content teams get a head start. Touches the AV feed, the agenda and the content library. See speech-to-text.

  • Attendee support bot

Where is hall B, when does the keynote start, how do I change my ticket: answered from the agenda, venue map and FAQs, with hand-off to the organiser's desk. Touches the event content, ticketing and the help desk. See the support bot case study.

  • Personalised agendas

A suggested schedule per attendee that respects clashes, ticket entitlements and interests, updated as the programme changes. Touches the agenda, session capacity and the attendee's profile.

  • Exhibitor lead intelligence

Scanned leads enriched with session attendance and interests, scored and summarised for the sales follow-up, exported to the exhibitor's CRM. Touches lead retrieval, the attendee profile and CRM integrations. See lead retrieval.

  • Post-event analytics and sponsor reporting

Engagement, session popularity, networking volume and sponsor exposure, explained in plain language and ready to share. Touches the analytics warehouse and the sponsor portal. See event analytics.

Compliance and data

Attendee data, consent and on-site reliability

What we design for in events

Attendee records are personal data, often collected across borders and shared with exhibitors and sponsors. GDPR and UK GDPR mean clear consent for matchmaking visibility, for sharing scanned leads and for recording sessions. White-label events need tenant isolation so one client's attendees never appear in another's suggestions. On-site reliability is a compliance matter too: check-in must work when the venue Wi-Fi does not. This is engineering guidance, not legal advice.

Eventify is multi-tenant by design, keeps matchmaking opt-in per attendee, records consent for lead sharing at scan time and lets organisers decide which sessions are transcribed. Our AI data privacy service formalises the same controls for custom builds.

Reference architecture

Flagship workflow: the AI layer inside an event platform

Registration, the agenda and session audio feed a shared event data layer: who is attending, what they chose, what is happening on stage. Three AI services sit on top. Matchmaking turns profiles and behaviour into meeting suggestions. Speech-to-text turns audio into captions, summaries and searchable transcripts. The support bot answers from the agenda, the venue map and the organiser's FAQs.

All three surface in the attendee app on iOS, Android and web, and feed the analytics that organisers and sponsors see afterwards. Because the services share one data layer, a transcript can improve a session recommendation and a support question can reveal a gap in the programme.

This is the architecture running in Eventify. The platform case study describes how it was built and the AI for events page lists every feature.

Getting started

The first 30 days

  1. Week 1: event and data review

Your event calendar, current platform, attendee data fields and the problems you hear most from attendees and exhibitors.

  2. Week 2: feature selection

Choose between Eventify and integrating with your existing platform; pick the first AI feature, usually matchmaking or the support bot.

  3. Weeks 3 to 4: configure and pilot

Branded app configured, data imported, AI feature tested on a past event's data with your team reviewing the suggestions.

  4. Day 30: ready for the next event

A go-live plan for your next event, on-site support arrangements and the analytics you will report afterwards.

Event timelines are fixed, so we start from your next event date and work backwards. Tell us when it is.

FAQ

Frequently asked questions

Do we have to use Eventify to get the AI features?

No. Eventify is the fastest route because the AI matchmaking, transcription, support bot and analytics are already built and tested there. If you run another registration or app platform we integrate with it through its API and deploy the same services alongside. See event technology.

How does AI matchmaking actually work?

Attendee profiles, declared interests, session choices and in-app behaviour are turned into embeddings and matched with the people, exhibitors and sessions most relevant to each person. Suggestions are explained ("you both selected the sustainability track") and organisers can set rules for who may be matched. Read the matchmaking case study.

Can transcription keep up with a live session?

Yes. Our pipeline transcribes live audio with a short delay, then produces summaries and searchable transcripts after the session. Speakers are informed, organisers choose which sessions are recorded and transcripts can be withheld on request. See the speech-to-text case study.

What about events with poor venue connectivity?

The on-site components (check-in, badge printing, kiosk, lead scanning) are built to tolerate unreliable networks and sync when connectivity returns. The AI services run server-side and degrade gracefully, so the app keeps working when the AI is briefly unavailable.
